It is in the best interest of the repairer, SGI and the customer to minimize the number of supplements on a vehicle and to follow a standard process to supplement an estimate. The Supplement Best Practices & Procedures will streamline supplements and will bring multiple inspections on the same vehicle to a minimum.

  • The Repairer will assign one person as the primary contact with the callback appraiser to handle supplements. A second person will be trained and available in the event the primary contact is not available.

  • The repairer will ensure that the primary and secondary contact person are familiar with the SGI Appraisal Procedures and Guidelines and that they are knowledgeable of current P-Pages, as well as a familiarity with included / not-included labour operations.

  • The repairer’s contact person shall review the original vehicle appraisal with the technician and review any comments or special instructions in the line entries. Any comments or special instructions on the estimate are to be brought to the call back appraisers attention at time of the supplement inspection.

  • The repairer will conduct a thorough inspection of the vehicle prior to requesting a supplement, this may entail a partial disassembly of the vehicle, removal of undamaged parts, etc., so that all damage is clearly visible.

  • Items marked as prior damage or unrelated damages on the original estimate are not to be included on the callback request or supplement.

  • The repairer will complete a supplement request listing items from the front of the vehicle moving to the rear showing the appropriate line number for each item.

  • All damaged parts and accessories will be on the parts cart with the vehicle in the repair stall ready for inspection.

  • All related paperwork or documents are to be retained in a job file jacket, placed in the appropriate wall rack slot or location so that no files or vehicles are missed when the call back appraiser arrives (i.e.: Work in Progress, Ready callback inspection, Ready for reprint, ect).

  • When requesting a change from repair to replacement, the repairer will ensure that the replacement price of the part is known and is made available to the callback appraiser. All supplemental replacement items will be subject to the SGI Salvage Parts Program and SGI Aftermarket Parts Program.

  • The Grid System will be the primary estimating resource for discretionary repair times for the original and supplemental estimates.

  • When the accumulative value of any or all supplements and the original estimate reaches 65% - 70% of the ACV, the Repairer and the supplementing appraiser will immediately notify the attending adjuster. Any questions regarding the vehicle ACV are to be directed to the attending adjuster.

  • Inspection of vehicles with the call back appraiser will be done in an orderly manner.

  • The Repairer will complete the supplement by attaching all accompanying invoices, completing all price changes, deleting any items not required and filling out any comments. The supplement must be signed and dated at the bottom.

  • Prior to submitting the supplement for processing ensure that part price changes and sublet amount have supporting invoices attached, items that have not been approved will not be included on the supplement.
